Personal Data Retention Schedule
A starting retention schedule for TourIQ records and periodic audits.
1. Retention rules
Keep data only for the period necessary for the purpose collected, unless a longer period is required by law, tax, accounting, contract, fraud prevention, dispute resolution, safety, legal claim, or regulatory obligation. After the retention period, delete, anonymise, pseudonymise, or restrict the data.
2. Schedule
| Data category | Suggested period | End action |
|---|---|---|
| Account users and admins | Life of account plus 2 years | Delete or anonymise after access, disputes, and audit needs end |
| Customer profiles | Life of relationship plus 2 years | Delete or anonymise unless linked to retained bookings/payments |
| Bookings and participants | 7 years from completion or cancellation | Anonymise passenger identifiers where financial/audit record must remain |
| Payments, receipts, invoices, refunds | 7 years or longer if tax/accounting law requires | Retain minimal financial record, restrict unnecessary personal details |
| Passport, ID, health, child, or special notes | Shortest possible period needed for the trip or legal purpose | Delete promptly unless legal hold applies |
| Support tickets and emails | 2 years after resolution | Delete or anonymise |
| Security logs and audit logs | 12 to 24 months unless incident or legal hold | Delete or aggregate |
| Marketing leads | Until consent is withdrawn, objection is made, or 24 months of inactivity | Delete or suppress from marketing |
| Backups | According to backup rotation | Expire automatically; reapply deletion on restore |
3. Audit cadence
Run a retention audit at least every 6 months. The audit should identify data no longer needed, records under legal hold, data eligible for anonymisation, stale exports, unnecessary sensitive data, and processors that need deletion instructions.
